Absent from examinations

Principles

1. Make-up examinations are generally not arranged for students absent from examinations.

2. A score of zero will be given to students who are absent from examinations without a legitimate reason, or if the reason for absence is not accepted by the school (please refer to situation 1 in the table below.)

3. Students who need to be absent from examinations due to special circumstances must submit a leave application letter together with relevant supporting documents to the form teacher and subject teacher in advance. The score of the missed examination will be calculated once the leave application is approved (please refer to situation 2 in the table below).

Principle: The score of the missed examination will be calculated with reference to another examination of the same category (annotation 1).

In an examination of the same category, the absent student's form rank will be calculated first. The student's initiate score in the missed examination will be projected based on his/her form rank in an examination of the same category together with the score of the student with the same form rank in the examination from which the student was absent.

The subject teacher can make minor upward or downward adjustments in the final projected score based on the student's overall academic performance in the term where the examination was missed as well as in the entire school year. However, the magnitude of adjustment must not exceed 10% above/below the initial projected score.

4. Students who are absent from examinations due to sickness must submit a medical certificate to the form teacher and subject teacher on the first day of class following their sick leave. The score projection will be made once the sick leave application is validated (please refer to situation 2 in the table below).

5. The principal (or a teacher appointed by the principal) will approve the projected examination score. No projected score is valid without the principal's / the appointed teacher's approval.

6. If a student is absent in an examination of any subject or any paper in the first term, the subject teacher will withhold from projecting the score of the missed examination temporarily. As such, the word ‘ABS’ will be printed next to the examination subject or paper from which the student was absent in the first-term examination report (this may result in the student's total score, average score or rank not being printed). The subject teacher will project the student's first-term score of the missed examination subject or paper based on situation (2) above once the student has completed an examination of the subject or paper of the same category in the second term. All projected scores will be printed on the final examination report.

7. In exceptional situations, the vice principal or the form teacher in charge of teaching affairs will arrange a special meeting with the subject teacher and form teacher to find a solution. The decision will be based on overall circumstances of the situation concerned.

8.　As there is only one Mock Examination for S6, no score projections can be made for students who are absent from examinations due to special circumstances or sickness. As such, the word ‘ABS’ will be printed next to the examination subject or paper from which the student was absent in the examination report (this may result in the student’s total score, average score or rank not being printed). A score of zero will be given to students who are absent from mock examinations without a legitimate reason, or if the reason for absence is not accepted by the school.

Projection procedures

Annotation 1: Score projection for the first examination can be withheld until the second examination is completed. Score projection for the second examination can be based on the score in the first examination as a reference.

(Example 1)

Q: Student A of class 3C missed the English examination in the first term because he went to play in the Tuen Mun Park. How should his score be projected?

A: Student A should be given a score of zero for the examination due to truancy.

(Example 2)

Q: Student B of class 2D was absent from the Mathematics examination in the second term due to sickness. The sick leave was approved as per standard procedures. How should his score be projected?

A: It can be calculated based on the procedures below:

Assuming that student B had a score of 75 and a form rank of 15 in the first-term Mathematics examination;

Projection principles: The score of another student with a form rank of 15 in the second-term Mathematics examination (for example: 70) à Therefore, student B's initial projected score for Mathematics in the first term is 70.

However, taking reference from student B's overall academic performance (including performance in regular assignments, tests and classes) in the second term and the entire school year, the subject teacher judges that student B showed an improved academic performance in the second term. The subject teacher therefore adjusts the initial score upwards by 5%. Student C's final projected score for the Mathematics examination in the second term is therefore 70 + 3.5 = 73.5

(Example 3)

Q: Student C of class 4B was absent from the examinations for Geography and 2 other subjects/papers in the first term due to sickness. The sick leave was approved as per standard procedures. How should his Geography score be calculated?

A: It can be calculated based on the procedures below:

Student C was absent in examinations of more than 1 subject or paper in the first term. The word ‘ABS’ will be printed next to all examination subjects or papers from which the student was absent in the first-term examination report.
The subject teacher(s) will calculate projected scores for all missed examination subjects or papers in the first term when student C has completed corresponding examinations in the second term.

Assuming that student C scored 70 and had a form rank of 8 in the second-term Geography examination;

Projection principles: The score of another student with a form rank of 8 in the first-term Geography examination (for example: 80) à Therefore, student C's initial project score for Geography in the first term is 80.

Taking reference from student C's overall academic performance (including performance in regular assignments, tests and classes) in the entire school year, the subject teacher judges that student C showed the same academic performance in the first and second terms. Therefore, student C's final projected score remains at 80.
